Everything you need to set up PropertyHub and start collecting rent — written plainly, for landlords who manage their own units. New here? Work top to bottom; otherwise jump to a section.

Getting started

PropertyHub organizes your portfolio in a simple hierarchy: Entity → Property → Unit → Lease → Tenant. You set it up once, and everything else — rent, reminders, reports — flows from it.

  1. Create your account and sign in.
  2. Add the legal entity that owns your first property (an LLC, a trust, or personal ownership).
  3. Add a property and its units.
  4. Add your tenants and create a lease for each unit.
  5. Invite tenants to the portal so they can start paying rent online.

Entities & properties

An entity is the legal owner of a property — most small landlords have a mix of LLCs, a trust, or personal ownership. PropertyHub keeps each entity's income and expenses separate so your books line up with your tax filing.

Under each property you add units (for a single-family home, that's one unit; for a triplex, three). Each unit holds one active lease at a time.

Tenants & leases

Add a tenant record for each renter, then create a lease that ties the tenant to a unit with a rent amount, due date, and term. A lease can have multiple tenants (roommates), and PropertyHub supports split-rent arrangements such as Section 8, where the housing authority pays part and the tenant pays the balance.

Collecting rent

Tenants pay by ACH bank transfer from their portal — no credit-card surcharges passed on to them. You can also record a payment you received another way (check, cash, Venmo) so your ledger stays accurate.

PropertyHub tracks each lease's due date and can send rent reminders before rent is due and late notices after the grace period passes, so you're not chasing anyone by hand.

Autopay

Tenants can enroll in autopay from the portal, which securely links their bank account and charges rent automatically on the due date. It's the most reliable way to get paid on time — once a tenant is enrolled, rent just shows up.

Tenant portal

Each tenant gets a private portal where they can pay rent, set up autopay, view their lease, see their payment history, and submit maintenance requests. You invite them once; they set their own password.

Deposits & fees

Record each security deposit and where it's held so move-out accounting is quick and defensible. Need the interest owed at move-out, or a late fee? Use the free deposit interest calculator and late fee calculator — and always confirm your state's rules in the relevant guide.

Reports & taxes

At tax time, PropertyHub produces the reports you actually need: a Schedule E-ready summary, a rent roll, profit-and-loss, and cash-flow — each filterable by entity so multi-LLC owners can hand a clean set of numbers to their accountant.
